This policy explains what personal information As You Like It Rugby Tours collects, why we collect it, who we share it with, and the choices you have. We've written it in plain language because you should be able to understand what happens to your data without a law degree.

Who we are

As You Like It Rugby Tours is a trading name of Ketchup Social Inc, a corporation registered in the State of Delaware (file number 10220530), registered office 1007 N Orange St, 4th Floor, Suite 1382, Wilmington, New Castle County, DE 19801. We are the business responsible for your information. You can reach us about anything in this policy at eddie@rugby-tours.com.

What we collect

We only collect what we need to plan and run your tour. Depending on how far you get in the booking process, that includes:

  • Contact details — your name, email address, phone number.
  • Booking details — the tour you've signed up for, your tier (full or weekend), your t-shirt size, your dietary requirements, your rooming preferences.
  • Travel documents — passport details and date of birth, where these are needed to book travel, accommodation, or match tickets.
  • Health and safety information — emergency contact details, and any medical information you choose to share with us that's relevant to your safe participation (for example, allergies or a condition we'd need to know about on tour).
  • Payment records — a record of the deposits and payments you've made. Your card details themselves are handled directly by our payment processor (Stripe); we do not store your full card number on our systems.
  • Communications — the emails and messages you exchange with us about your tour.

Why we collect it

We use your information to:

  • Take your booking, collect your deposit and balance, and issue refunds where due.
  • Plan and operate your tour — book accommodation, transport, fixtures, activities, and match tickets, and make sure dietary, rooming, and medical needs are handled.
  • Keep you informed — send you booking confirmations, payment reminders, document requests, itineraries, and tour updates.
  • Meet our legal, accounting, insurance, and safety obligations.
  • Respond to you when you contact us.

We do not use your information for advertising, and we do not make automated decisions about you that have legal or similarly significant effects.

Who we share it with

We share the minimum necessary information with the people who help deliver your tour:

  • Suppliers — accommodation, transport, activity, and fixture providers, who need details like names, group size, dietary requirements, and rooming arrangements to provide their service. Because our tours are to the UK and Ireland, some of these suppliers are located there, which means some of your information is transferred outside the United States to deliver your tour.
  • Our payment processor — Stripe, which handles your card payment securely.
  • Our service providers — the tools we use to run the business, such as email delivery and our booking platform, which process information on our behalf.
  • Authorities or professional advisers — where we're legally required to, or where we need advice (for example, our accountant or insurer).

We do not sell your personal information, and we do not share it for anyone else's advertising.

How long we keep it

We keep your information for as long as we need it to run your tour and to meet the legal, accounting, insurance, and safety obligations that follow it. In practice that means active tour information is kept through the tour and for a reasonable period afterward, and records we're required to retain (such as payment and tax records) are kept for as long as the law requires. We delete or anonymise information we no longer need.

How we protect it

We use reasonable security measures to protect your information, including restricting who can access it and relying on reputable providers (such as Stripe for payments and established cloud services for document storage) who maintain their own security standards. No system is perfectly secure, but we take the protection of your passport, medical, and payment information seriously and limit who can see it.

Your choices and rights

You can:

  • Ask us what information we hold about you.
  • Ask us to correct information that's wrong.
  • Ask us to delete information we no longer need to keep (subject to records we're legally required to retain).
  • Ask us to stop sending you non-essential communications.

To do any of these, email eddie@rugby-tours.com and we'll respond within a reasonable time. Depending on where you live, you may have additional rights under your local privacy laws (for example, residents of California and of the UK or EU have specific rights) — tell us where you're based and we'll honour the rights that apply to you.

Children

Our tours are sold to adults aged 18 and over. We do not knowingly collect information from anyone under 18.

Changes to this policy

We may update this policy from time to time. The version in force is the one published at rugby-tours.com/privacy, and we'll note the effective date at the top.
